A. PRE-BOOKING NEGOTIATIONS

1. Date Reservation

We will hold your date for 30 days. This does not obligate you; but, blocks the date for us:

that is, we will call you if we get another request for the date and give you first choice to commit to the date. [In practice, we know you often, even then, can't commit; but we will do everything we can to accommodate you.]
If for some reason, Norm is not selected for this event, we are always appreciative if you let us know, as soon as possible, so we can release the date.






2. Discussions to define, and refine, the potential presentation
to get the results the client expects.

To help you in your decision-making, our office will analyze with you, the goals and objectives of the presentation. We will, then, suggest

to meet them.





B. ONCE THE EVENT IS BOOKED

1. Customizing the Presentation

Norm, or one of his staff, will talk directly with the client to:

  1. learn about the client:
    • history,
    • successes and
    • 'would like to do betters'; and
  2. set the
    • theme,
    • focus
    • expected results for the overall meeting, and
    • expected results for Norm's specific session
. Norm's Pinehurst participant profile is then implemented to detail the make-up of the audience. This assures you a completely customized focus, expertly tailored to participant needs.

Norm's office will, then, cross-profile your organization with our Pinehurst Data Based Performance Index to provide the most appropriate and far-reaching initiatives for your group.

We are always available for last minute changes in your needs.





2. Our office will provide the write-ups and photos you need to promote Norm's presentation at your event.

3. Logistics

a. Travel

(i) Travel costs are based on return travel from Saskatoon, Saskatchewan to your meeting site.

(ii) We prefer to book Norm's travel ourselves; but will let you know his flight arrangements in advance.

For shorter distances, he travels regular economy class; but, for distances requiring more than 2 hours flying time, we normally request business class fare.

We require a travel advance at least three weeks before the engagement as part of our deposit

Additional expenses such as taxis and food will be billed following the event.

(iii) Naturally, if we can book him so that you can share travel costs with another client, we will do so.

(iv) Given the uncertainty of airline punctuality, Norm prefers to get from the airport by himself.





b. Accommodation

(i) We ask that the client pre-book hotel accomodation on their master account.

(ii) Norm requires a room on the following basis.

Time of Event Accommodation Required
Morning event Previous night and check-out no earlier than 1 hour after his speech.
Afternoon event Sorry, we can not be specific. Depending upon air flights and hotel check-in times, he may require either the previous night, and late check-out, the night after, or both.
Evening event The afternoon and night of the event.
Two or more talks on the same day Previous night and late check-out or night of event.
Other combinations of talks Depend upon flight arrangements.




c. A/V Requirements

Unless our discussions with you highlight other needs, Norm will require a wireless lapel microphone. He is a very mobile speaker who needs to walk freely and have both hands free.

d. Room Set-up

For larger groups Norm prefers theater style seating for his audience.

For small groups and workshops, he prefers round tables rather than classic classroom style.

C. AT THE EVENT

1. Communications with the organizers

a. Arrival

Norm will arrive on time, ready for his session. Once he has checked in he will leave a message for you that he has arrived.

If you have special needs or additional information for Norm, consider leaving it with the hotel registration. This save you the hassle of trying to connect with him in the midst of everything else you have to do..

b. Meeting executive members

Norm is naturally pleased to fraternize with your special guests and executive members. He may also be able to incorporate an additional point or two at the last minute if something has arisen, please remember that the speaker needs adequate time both for preparation and `psyching up'.





2. Facilities and Audio Visual Requirements

a. Previewing the meeting room

Norm will arrange to preview the room with the help of hotel or meeting center staff and need not bother you with escort service. Only if he requires major changes in set up from his previous arrangements with you, will he ask for your assistance.

b. Lighting for the meeting

Norm prefers MAXIMUM lighting both ON THE AUDIENCE and on the stage.

c. A/V Requirements

Norm will talk directly with the A/V folks prior to his presentation to be connected for the cordless lapel microphone you have arranged for him.

3. Recording and Taping

Please discuss with this with us. We have only a few conditions and concerns.

4. Attendance at Social Functions

A speaker's impact depends upon his audience's first impression. Norm, therefore, makes a practice to never attend pre-speech socials, although he is naturally happy to mix with the group once the talk is completed. In most instances, he will appear a few moments before he is due on the platform or at the head table. Naturally, he can be available to the organizers, if required.





D. FINANCIAL CONSIDERATIONS

1. Fee

Norm's fee is very competitive and is based on the number and length of his presentations for you. We have listed combinations of presentations which we recommend to combine effectiveness and economy. Other arrangements, such as a keynote followed by a concurrent session, we have found confuse an audience and detract from attendance at both sessions.

2. Deposit Required

Despite an organizer's best efforts, cancellations or postponements are sometimes necessary. Because Norm's calendar is like a programmed air-flight charter with a fixed number of positions, we must regard a date cancellation like an airline does a seat cancellation. We, therefore, charge an industry standard 30% non-refundable deposit upon signing the agreement. This protects the date for your organization.



3. Cancellation or Postponement Provisions

Cancellation fees:

Up to 6 months prior to the date 50%,
6 months to 3 months 75% of fee,
3 months to date 100% of fee.

Provision may be made for partial reallocation of cancellation fee to a later date.
